1. Our Application Process

Our application processes are very simple and streamlined, yet seamless and hassle-free experience.

  1. Choose Your Dates: Select your desired travel dates for Bhutan.

  2. Reserve Your Spot: We'll provisionally book your flight and inform you of the payment deadline.

  3. Complete the Paperwork: Submit the required documents:

    • Completed application form

    • Passport photo page copy

    • Passport-size photo of your face

    • Proof of payment

  4. Secure Your Booking: Once we receive your documents including the payments receipt, we'll finalize your flight booking and send you the e-ticket.

  5. Visa Processing: We'll apply for your visa approximately a month prior to your arrival.

  6. Travel Ready: You'll receive your visa, itinerary, and hotel list via email.

  7. Arrive in Bhutan: Our guide and driver will be waiting to greet you at Paro International Airport.

Important Notes:

  • This is only general flow, however, the order may change depending on your departure dates.

  • While visa processing typically takes 3-5 business days, it may vary. We can accommodate earlier or later visa application requests.

  • Please ensure your passport copy is clear, with no cut-off edges. Colour copies are preferred, but black and white copies are acceptable as long as they are legible.

2. Payment Method

Payments can be made via international remittance to our designated Bhutan National Bank (BNB) account. Please note that remittances must be in US dollars, and all associated fees are the responsibility of the clients.

Secure Payments:

To ensure your financial security, VenTara Tours utilizes only approved payment gateways for all transactions. This minimizes the risk of scams and data breaches. However, it's always important to remain vigilant of scams.

Your Responsibility:

Should you choose other remittance method, please confirm with your bank that the chosen remittance method is safe and reliable before making any payments. VenTara Tours cannot be held responsible for transactions made outside our official channels.

  • Never share your banking information through unsolicited emails or phone calls.

  • Double-check the email address before sending any payment.

3. Cancellation Policy

  1. We understand that planning a trip to Bhutan requires careful consideration and preparation. While we strive to provide seamless travel experiences, unforeseen circumstances, such as natural disasters or government-imposed restrictions, may occasionally necessitate changes to your itinerary. In such rare instances, we will inform you promptly and provide options, including a full refund or rescheduling your trip to a more suitable time. Our goal is to minimize any inconvenience and ensure your peace of mind.

  2. Force Majeure Events:

    • In the event of unforeseen circumstances such as natural disasters, political unrest, or other force majeure events that stopped you from travelling, we will work with you to find alternative arrangements or issue a refund, as applicable.

  3. Medical Emergencies and Bereavement:

    • In the event of a medical emergency or the death of a close family member, please provide supporting documentation such as a medical certificate or death certificate. We may consider these cases on an individual basis and may offer a full or partial refund or alternative arrangements after careful considerations.

  4. We understand that plans can change. If you need to cancel your trip, please let us know as soon as possible. While we strive to offer flexible cancellation policies, certain circumstances may incur fees:

    a. Full Refund: 100% refund - less non-refundable visa fees and USD 50 administrative fee:

    • Cancellations made more than 45 days prior to arrival.

    b. Partial Refund:

    • Cancellations made 30 days prior to arrival = 70% refund.

    • Cancellations made between 20-30 days prior to arrival = 50% refund.

    • Cancellations made between 10-20 days prior to arrival = 25% refund

    • Cancellations made between 5-10 days prior to arrival = 10% refund

    c. No Refund:

    • Cancellations made within 5 days of intended travel date.

    • No show after actual travel date.

  5. Refund policies for air tickets and hotel bookings are as per the policy of the issuing authority, and we will communicate the respective policy in the offer. For some hotels we may be able to negotiate on case basis.
